How to setup a PDF converter in Electronic Reporting

Exchanging business documents in PDF format is highly requested by many companies. The ability to convert your Excel and Word templates to PDF format will help you cover your customer and partner’s demand for exchange of business documents.

But setting up the PDF converter in Electronic Reporting can be tricky, and there are two different ways to it:

  • 1) In the format designer of the configuration, you can add a PDF converter as the root for your Excel or Word templates. In the ER destination or print management, the PDF converter can be selected instead of the Excel report.
  • 2) When creating destinations in Print Management or ER Destinations, you can use Excel or Word templates and check the PDF converter option, which will convert your templates. You can also add new destinations. This is especially useful later in a project, as you can set up multiple destinations and easily add them with a click.

What can the PDF Conversion in Dynamics 365 ER be used for?

The PDF converter within Electronic Reporting in Dynamics 365 enhances the efficiency and security of document generation, distribution, and storage processes, making it a valuable feature for any business dealing with formal documents – and it can be used in many different scenarios:

  • Generating invoices and sending them automatically as PDF attachments to customers.
  • Exporting regulatory reports (e.g., tax filings) in PDF format to meet legal requirements.
  • Archiving financial reports in PDF format for record-keeping purposes.
  • Creating purchase orders, sales orders, or other documents that are finalized in PDF before sharing externally.

What is a PDF converter in Dynamics 365 ER?

The PDF converter in the Electronic Reporting (ER) module in D365 is a feature that allows users to easily convert documents generated in different Microsoft Office formats (like Excel or Word) into the widely accepted PDF format.

In Electronic Reporting, configurations are usually created to produce reports in various formats such as Excel (XLSX) or Word (DOCX). With the PDF converter, these reports can be automatically converted into PDF for easier distribution, storage, or compliance.

This feature is particularly important when documents need to be presented in a fixed layout, which may not always be the case with other formats (e.g., Excel allows for editing, which might affect the layout). The PDF format is also more reliable when sharing externally, as it’s considered secure and more compatible across systems and devices.
