From local to global ERP rollout

Polytech is on a mission to help the world become powered by renewable energy. That requires a global presence and a document setup that can handle it. With the help of Tabellae, they have achieved an Output Management solution that can handle all customer and compliance requirements for a global ERP rollout in China and Mexico.

About Polytech

Polytech was founded in 1994 and is today a global supplier of protection and performance enhancing solutions for wind turbines such as lightning discharge systems, leading edge protection for turbine blades and protection solutions for blade and turbine transportation. They are a trusted partner for the largest wind turbine manufacturers and more than 50% of the world’s wind turbines are equipped with a Polytech solution. Polytech has production sites and offices in Denmark, China and Mexico. This requires a modern ERP, which is why they upgraded SAP Business One to Dynamics 365 F&SCM and Lasernet.

All in one Output Management solution

“At Polytech, we want to secure the future of wind energy through sustainable solutions that improve the durability and performance of wind turbines. Our old ERP didn’t make the mission easy, which is why we started the upgrade journey 5 years ago.

Our ERP partner recommended using Lasernet for Output Management, so we contacted Tabellae. Based on Tabellae’s competencies, methodologies and Best Practice package with standard documents and implementation guides, we created the foundation for an Output Management solution we can grow with.

Today, we use Lasernet to print all our external documents such as sales orders, order confirmations, production orders, certificates, packing lists, labels and automatic reminders, as well as for EDI,” says ERP Consultant, Morten Ramussen Boelslund.

One solution for traceability

“One of the reasons for the ERP upgrade was that we are certified in many areas of sustainability. Therefore, our products are subject to strict testing, where traceability is an important factor. We came from SAP Business One, where all traceability was in third-party systems.

We therefore chose to replace SAP with Dynamics 365 F&SCM, which today handles all traceability, such as who produced which products and where the purchased raw materials come from – right down to batch and serial numbers. With Lasernet, we can get all the necessary data on all our reports,” continues IT Consultant, Camilla Luxhøj Jensen

Easy to be compliant globally

“Manual actions lead to errors, which is why we have automated many processes in the new ERP, e.g. compliance, customer and import requirements are solved with an automated global template. We don’t develop anything that is earmarked for a single supplier or location.

This has enabled us to:

1) Better customer service in terms of customs on import
There are multiple tariff codes, also known as HS codes, within the same product group, some of which results in our customers having to pay custom duties upon import. We have therefore developed an automated global solution with Lasernet via External Item Description. Here we map the ‘customer import HS code’ into a table that ensures that the correct tariff code is displayed on the documents so that our customers do not have to pay unauthorized duties.

2) Export to countries with regulatory requirements
In order for us to ship goods to Brazil, the country of shipment must appear on the individual product lines on the export documents. We have solved this, so that every time we create a sales order to Brazil, it automatically triggers a note from D365 that the shipping country must appear on the document.”

Certification solution frees up employees

“We also make extensive use of certificates from Lasernet for automatic handling of generic certificates as well as customer and product certificates.

These include COCs, Certificate of Conformity, which informs us that our products comply with legal safety and quality requirements, and COAs, Certificate of Analysis, which describes the results of an analysis.

The solution has freed up 2 employees who previously did nothing but create certificates and labels. Today, there is only one employee who handles that and other tasks,” says Morten.

Automated label printing with tracking

“A big advantage of Lasernet is the automation options. We print most labels with Lasernet from D365, where we have automated our label printing so that we have two triggers for printing labels today: Upon receipt of goods and notification of completion of produced goods.

In addition, we are working on developing a new label solution that triggers an automatically printed label with a serial number at the start of production. Today, we manage labels at item level.

This means that we register which label to print, when, how many and where on each item. Should a label break or have errors, we have built a table with all tracking info based on our completion reports, so we can reprint labels based on the original production scenario,” says Camilla.

EDI inspiration from Tabellae’s networking group

“As a global player, our customers also demand that we can exchange documents electronically. We therefore had to include an EDI solution in our upgrade.

The solution was inspired by Tabellae’s ERFA meeting at another D365 F&SCM customer, where we heard how the host and other customers used EDI with Lasernet. Tabellae facilitates free networking groups where we can share knowledge and get a lot of inspiration from others who use Lasernet and the same ERP system as us. Before the ERFA meeting, we saw Lasernet as just a document management tool, but here we learned that it could also integrate with other systems.

We will use Lasernet to do the integration to SAP Ariba for our customer Vestas, who wanted
an EDI solution from us. The solution consists of Lasernet sending sales order confirmations, invoices
and packing slips as XML and manages XML formats and data destinations. Lasernet is thus used to reformat SAP Ariba’s XML to ours and vice versa,” says Morten, who is deeply impressed with the functionality of Lasernet.

Faster reminder dispatches

“Lasernet has many ‘hidden features’ that make our everyday life much easier. For example, we use three different automatic reminder letters: First reminder, reminder and last reminder with a fee.

In standard D365, it is time-consuming to send reminders to your customers. Here, each report must be generated, validated and then sent to the individual customer. With LaserNet’s standard feature, background print, our finance department can mark several customers who need a reminder, bring the report up on the screen for approval and simply press ‘yes’ and then all reminders are sent automatically. The processing time is much faster than in standard D365 F&SCM,” says Morten.

Well positioned for global rollout

“With a wide range of automated documents and an EDI solution, our D365 F&SCM rollout is complete in Denmark, and this has created the foundation for a global rollout in China and Mexico.

In addition, Tabellae has helped us set up our release process so that Lasernet and D365 F&SCM are aligned – also in relation to our global rollout in China. When we test, we run a Proof of Concept where we test all our Chinese configurations, integrations, documents, etc.

All of which we can customize in our developer environment from Denmark. In parallel, we can also run the 4 upgrades in F&SCM that come from Microsoft every year, which makes us more flexible with our global ERP rollout. ” says Morten

Collaboration and the future

“We are very happy with our collaboration with Tabellae and they have helped us become self-sufficient in Lasernet. We have had two colleagues on a course at Tabellae and are now trying to insource some basic
Lasernet skills so that we can operate the support and handle our many Lasernet reports and solutions ourselves,” Camilla concludes.
