Get Ready for PDF/UA Compliance

If your company distributes PDFs, there’s an important EU regulation you should be aware of: the European Accessibility Act (EAA). As of 28 June 2025, all PDFs must be readable by everyone – including users with disabilities such as people relying on screen readers, magnification tools or other assistive technologies. The technical standard for meeting these requirements is to produce PDF/UA (PDF/Universal Accessibility) compliant documents.

Why is this important?
It’s not just about legal compliance. Accessible PDFs ensure that all customers, employees, and partners can read your documents. This leads to better user experiences, fewer support inquiries, and reduced risk of non-compliance.

What does this mean for ERP and Output Management?
Most PDFs – such as invoices, order confirmations, contracts, or reports – don’t come from Word, but directly from the ERP system. This means accessibility must be built into the document flow itself. Output Management systems now need to handle correct reading order, graphics, headings, tables, and lists – and work across markets, languages, brands, and document types.

Companies that are not already producing PDF/UA-compliant documents should ensure as soon as possible that their Output Management platform supports the legal requirements.
